ABOUT SYRCL AND WILD & SCENIC FILM FESTIVAL

The South Yuba River Citizens League (SYRCL), a watershed conservation organization located in Nevada City, CA SYRCL “unites the community to protect and restore the Yuba River.”  Much of our community interaction occurs through our Wild & Scenic events, including our largest, the Wild & Scenic Film Festival.  Created in 2003, this 5-day festival draws more than 7,500 attendees and launches an annual “On Tour” program designed to raise awareness and encourage grassroots environmental action nationally and internationally.  Additionally, this festival is SYRCL’s largest annual fundraising effort and proceeds fund SYRCL’s other programmatic work.


POSITION SUMMARY

The On Tour Program Coordinator provides stellar customer service and programmatic support to our event host partners for our 230+ satellite Wild & Scenic events around the globe, and supports our flagship festival each January. In its 14th year, Wild & Scenic Film Festival On Tour provides a turn-key fundraiser and membership drive event to other organizations providing a selection of films from SYRCL’s Wild & Scenic Film Festival held each January.  This position works closely with each event host to ensure their event meets Wild & Scenic standards and their organization’s goals. The On Tour program is a major source of funding for SYRCL’s river conservation work. SYRCL seeks an On Tour Program Coordinator with proven customer service and event or program management experience. The Program Coordinator is a self-starter who creates and maintains systems, is highly organized, detail-oriented, able to draw boundaries, experienced with project management and databases, and is passionate about environmental conservation. Work hours will be scheduled Monday - Friday, 9 am - 6 pm in SYRCL’s Nevada City office. Occasional evening and weekend work is required.


RESPONSIBILITIES:

  • Manage and execute all logistics required to keep On Tour in motion for assigned events:
    • Guide On Tour Partners through a customized 12-week timeline and provide all marketing materials, guidelines and procedures, and other resources.
    • Approve event collateral, promote events online, assist in curation of film programs.
    • Set up and program virtual event web pages.
  • Provide superior and timely support to On Tour hosts via email, phone, and Zoom.
  • Coordinate with internal and external partners to continually monitor event status, ensure all deliverable deadlines are met, and deliver high-quality On Tour events.
  • Track event progress and communication, input data, and run reports.
  • Maintain On Tour resources, programs, calendars, email templates, forms, and other customer-facing documents.
  • Oversee inventory and shipping of Event Kits for assigned venues and communicate with National Partners regarding WSFF On Tour.
  • Participate as a key staff person with January’s “flagship” Wild & Scenic Film Festival in Nevada City and Grass Valley, CA.
  • Sales support and research.
  • Other duties as assigned.

QUALIFICATIONS:

  • Customer service: Must have a proven track record of providing excellent customer service, experience resolving customer problems with a positive attitude, draw boundaries when needed, and capacity to contribute to the program’s customer retention efforts.
  • Communication: Superior interpersonal skills are essential. Much of your communications will be over the phone or via email, so clear communication, excellent phone manners, great writing skills, and empathy for Tour Hosts are all important in this role. Must work cooperatively with staff and volunteers.  This is a highly collaborative role that requires detailed communication.
  • Organization and project management: The On Tour Program Coordinator must be detail-oriented with strong organizational skills and ability to prioritize tasks with competing deadlines. Excellent clerical and math skills are required.
  • Computer Skills: Computer skills required. Must be proficient with the Microsoft Office Suite and Wordpress. Proficiency with CRMs (ideally HubSpot) highly valued. Adobe Creative Cloud experience preferred.
  • Event production and graphic design experience is desired.
  • Sales experience is a plus, including marketing, experience with prospect (lead) research, cold calling, and tracking moves management.
  • Positive, self-motivated, and quick learning performer highly valued.  Top candidates will demonstrate initiative, be conscientious, and provide follow-through on areas of responsibility. This position requires confidentiality, and a sense of humor is a must. Passion for the environment and social justice is essential.
  • Bachelor’s degree or equivalent work experience required, non-profit work experience a plus. 


PHYSICAL REQUIREMENTS:

This position requires frequent computer use and occasional lifting of up to 35 pounds. Must be able to sit for extended periods of time. Ability to maintain a composed and professional demeanor within a flexible (and at times noisy) work environment. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.


COMPENSATION:

This full-time position starts at $19 per hour plus 14 days paid time off (PTO), 3 sick days, 100% individual health insurance coverage, 401K, and 10 paid holidays annually.
